As our ministry continues to grow, we are seeking a dedicated and organized Administrator, Public Relations & Volunteer Coordinator to help strengthen our communications, support daily operations, and cultivate the volunteers who are essential to the work of Source.

Position Summary

The Administrator, Public Relations & Volunteer Coordinator plays a vital role in supporting the daily operations and outreach of Source. This position helps maintain administrative systems, assists with ministry communications and public relations, and recruits, trains, and supports volunteers.

This role requires someone who is organized, relational, and passionate about serving in a Christian ministry environment. The individual will help ensure the ministry runs smoothly behind the scenes while also helping communicate Source’s mission to the broader community.

Key Responsibilities

Administration & Office Support

  • Respond to emails, voicemails, and phone calls
  • Help prepare and organize materials for programs and ministry activities
  • Assist with administrative support for ministry staff and program leads
    • Enter and maintain data in the ministry CRM database
  • Assist with general mailings, printing, copying, and document preparation
  • Maintain general office organization and cleanliness
    • Purchase office supplies and equipment as needed
    • Maintain registration systems and equipment for the food shelf program
    • Ensure tablets, electronics, and supplies are charged and ready for use
    • Assist with preparation, execution, and follow-up for major Source events (Golf Tournament, Fall Gathering, etc.)

 

Public Relations & Communications

  • Understand Source’s mission and messaging to communicate effectively with various audiences
    • Assist in creating and managing PR materials including website updates, program flyers, videos, and social media content
    • Support the development of newsletters and donor communications
    • Coordinate bulk mailings and partner communication materials
    • Assist with thank-you notes and communications for ministry partners and donors
    • Work with leadership to ensure consistent messaging across all platforms
    • Support donor and ministry events with communications, displays, and event materials

 

Volunteer Coordination

 

Recruitment & Networking

  • Identify volunteer needs across programs and ministries
    • Recruit volunteers through churches, colleges, schools, and community                                              

networks
• Develop volunteer role descriptions and opportunities
• Assist in interviewing and onboarding volunteers

 

Development & Training

  • Develop volunteer orientation materials and a volunteer handbook
    • Coordinate volunteer orientation and training sessions
    • Provide guidance and support for volunteers in their roles
    • Create systems to recognize and appreciate volunteer contributions

 

Management & Support

  • Maintain volunteer database and records
    • Communicate regularly with volunteers through updates, newsletters, and events
    • Connect volunteers with appropriate staff and ministry programs
    • Ensure volunteers feel welcomed, supported, and valued
    • Assist in resolving concerns or conflicts with compassion and professionalism

 

Qualifications

 

Required

  • Strong organizational and administrative skills
    • Strong written and verbal communication abilities
    • Ability to manage multiple responsibilities and deadlines
    • Experience working with volunteers, events, or nonprofit ministries preferred
    • Comfortable using technology such as email, CRM systems, and basic office software
    • Ability to interact well with people from diverse cultural and socioeconomic backgrounds
    • Alignment with the mission and values of Source

Physical Demands

  • Ability to sit and work at a computer for extended periods
    • Ability to occasionally lift or move boxes or supplies (up to 25 lbs)
    • Ability to assist with setup and preparation for ministry events

 

General Responsibilities

  • Participate in weekly prayer times with the Source team
    • Attend and support Source fundraising events such as the Golf Tournament, Fiscal Year End, and Fall Gathering
    • Participate in staff community activities, including retreats, conferences, worship times, and team gatherings
    • Maintain a personal prayer partnership with 2–3 individuals outside of Source who will regularly pray for you and the ministry
